Q&A From Session
Will the webinar recording and slides be available after the session?

Unfortunately the webinar will not be recorded and the slides cannot be shared. However, relevant resources can be found above, and you can schedule a meeting with a Meta Tech Pro to further work on your integration live.

What is the difference between "Maximize number of leads" and "Maximize number of conversion leads"?

"Maximize number of leads" optimizes your campaign to get the highest volume of form submissions — best for top-of-funnel goals like building an email list. "Maximize number of conversion leads" optimizes to reach people who are most likely to convert after submitting their information (e.g., booking an appointment or making a purchase). The latter works best when connected to your CRM data via the Conversions API so Meta can learn what a high-quality lead looks like for your business.

What if I don't have CAPI enabled? Can I still use Conversion Leads?

Without CAPI for CRM, you cannot select the "Maximize number of conversion leads" ad set goal. However, even without CAPI, Meta uses predictive models (such as lookalike modeling based on previous customers and interactions) to identify quality users — but the full benefit comes with CAPI CRM integration.

Do Lead Gen forms always have to be used with CAPI? Or can they just be used with a conventional pixel?

No, CAPI is not required to run Lead Ads. If you're using Instant Forms and optimizing for lead volume, you can collect leads directly on-platform without any pixel or CAPI setup. If you want to optimize for lead quality using Conversion Leads, CAPI for CRM is strongly recommended — it sends your downstream conversion data (e.g., qualified leads, closed deals) back to Meta so the system can find more people like your best leads. You can still use Conversion Leads without CAPI, but results will be significantly better with it. For website lead forms, a pixel and/or CAPI is needed to track on-site form submissions.

Is it actually important to use the pixel when doing leads only on-platform (instant forms, not sending to a website)?

If you are setting up Conversions API for CRM, then yes, the pixel is needed. If you are not using CAPI CRM and are just collecting leads via instant forms, the pixel is not required.

How can we reduce spam or bot traffic coming through Instant Forms?

Several options: (1) SMS Phone Verification — require leads to verify their phone number via SMS before submitting. (2) Require Work Email — enforce corporate email addresses. (3) Add Custom Questions — adding more questions (especially open-ended ones) qualifies leads, though it may increase CPL. (4) Higher Intent Form Type — adds a review step so people confirm their info before submitting. (5) Conditional Logic — use branching questions to filter out unqualified leads. For special ad categories like Housing, the same tools apply, though some targeting restrictions may limit additional options.

Can increasing friction help to qualify leads, or does it have a negative impact?

It depends on the advertiser and requires experimentation. Adding more questions is a great way to qualify leads, but it could increase your Cost Per Lead. The right balance between friction and volume is specific to each business.

If we're testing instant forms vs. website forms, should this be set up as an A/B test within one campaign, or as two separate campaigns?

You can run them in the same campaign, but you will need separate ad sets — one optimizing towards Instant Forms and one optimizing towards Website Leads. Alternatively, you can use the "Multiple Conversion Locations" feature to select both "Website and Instant Forms" in a single ad set, and let Meta's delivery system automatically route each user to the form type they are most likely to complete.

Don't Instant Forms and webforms compete against each other?

They can complement each other rather than compete. Some users are more likely to fill out an instant form (low friction), while others prefer going to a website (higher intent). Meta's experiments with advertisers show that using both instant forms and website forms together can result in up to 60% lower CPL and 125% increase in lead volume compared to using just one. The best-performing lead generation strategies use both.

I was told best practice is to have ONE campaign and ONE ad group active. How can I do that AND use both Instant Forms and website forms?

You can use the "Multiple Conversion Locations" feature at the ad set level, which allows you to select both "Website and Instant Forms" as your conversion location in a single ad set. Meta's delivery system will automatically route each user to the form type they are most likely to complete, without splitting your budget.

Is there a suggested targeting difference for users who are more likely to fill out a lead form vs. a website form?

There is no suggested targeting difference. Meta's experiments with advertisers indicate that there can be a performance increase from using both instant forms and website forms together. Meta's delivery system handles the routing automatically.

What is the minimum number of conversion events needed for the algorithm to learn?

There is no strict minimum, but best practice is to generate around 200 leads per month with a conversion rate between 1% and 40%. The more events you send, the better Meta can optimize. A very small sample size limits Meta's ability to optimize effectively, so make sure you send the complete data set of events and lead stage changes via CAPI CRM.

How do I send information back to Meta when a lead moves to the next stage in my CRM (e.g., from "Created" to "Test Drive")?

With the Salesforce integration, when you set up the Meta Conversion Leads App, you map your Salesforce lead/opportunity stages to Meta events. When a lead's status changes in Salesforce, the app automatically sends that updated stage event back to Meta via the Conversions API. For other CRMs, the process is similar — you configure your CRM or a third-party tool (like Zapier or Make) to send a "Lead" event with the updated stage name whenever the lead progresses. We recommend sending all down-funnel actions/stages, and then when you create a Conversion Lead Campaign, you choose which stage to optimize towards.

Does the conditional logic on Instant Forms change the person who comes through, or does it just filter the lead?

Conditional logic filters and qualifies the lead — it does not change who sees the ad. It creates a dynamic form that responds differently based on a person's answers, so you can collect the most relevant information and route or disqualify leads based on their responses. The ad delivery/targeting is separate from the form logic. However, when you combine conditional logic with Conversion Leads optimization and send the qualified lead data back to Meta via CAPI CRM, Meta's algorithm will learn over time to target people more likely to give qualifying answers.

Is there a way to disable the automated form-fill on Instant Forms?

You cannot completely disable auto-fill for standard pre-fill contact fields (like name, email, phone). However, you can use custom questions with open-ended text fields instead of the standard pre-fill fields, which forces users to manually type their information.

Are we able to capture users who started filling out the form but did not submit for retargeting?

Yes! With instant forms, you can configure a custom audience from forms and select "opened and submitted," "opened and didn't submit," or "opened form regardless of submission." For website forms, you can set up a "start form" event and send it to Meta, then exclude users who converted.

Are you able to report on form start / form complete?

For instant forms, you can see leads submitted in your reporting. For tracking form starts vs. completions, you can create custom audiences based on "opened form" vs. "submitted form" to measure the difference. For website forms, you can fire separate pixel events for form start and form complete.

Is CRM integration the only way to download leads?

No. Meta Leads Center (free in Business Suite) and Google Sheets are other free options. You can also download leads directly from Ads Manager. Many popular CRMs have native integrations, and automation partners like Zapier and Make can connect Meta to almost any tool.

Is there a limit to the number of leads one can download without a CRM?

No, there is no limit.

What of the Google Sheets data gets updated automatically vs. what needs to be done manually?

When you set up the Google Sheets integration, new leads are automatically imported into the sheet when they submit the instant form. However, updating the lead status/stage (e.g., from "Created" to "Qualified" or "Purchased") must be done manually in the Google Sheet. The more accurately you keep your lead statuses updated, the better Meta can optimize your campaigns.

Can we use the Google Sheets integration for leads generated on the website instead of instant forms?

Currently the Google Sheets integration is available only for Instant Form leads. It does not work with website leads.

Does the lead status need to be in English, or can it be set in another language?

Meta can process statuses and events in different languages — they do not need to be in English. You can use any custom event names you'd like.

Is integrating past CRM events valuable? Can I sync past lead data back to Meta?

Currently Meta only accepts previous data up to 7 days. For simplicity, it is sometimes easier to just start fresh and collect all lead/stage data moving forward.

Should I use a separate pixel for conversion leads CAPI integration?

It doesn't make a huge difference. Some advertisers prefer a separate pixel for organizational purposes and to make analysis easier, but a single pixel can collect events from website, CRM, offline, and app sources. Meta will use the correct events based on the source and the type of ad campaign you are running.

Is there a difference between a pixel on a regular website and a pixel in CRM?

If you already have a website pixel, you can use that same pixel for the Conversions API for CRM integration. A pixel can collect events from website, CRM, offline, and app. Based on how you set up your ad campaign and what you optimize towards, Meta will choose the correct events to utilize.

Is there an integration between my CRM and Meta? (e.g., Delphi CRM, Triple Seat, HubSpot, LeadSimple)

We recommend searching the web for your CRM name and "Meta/Facebook Integration" and checking the official CRM documentation. If there is no native integration, third-party tools like Make and Zapier provide connectors between many CRMs and Meta. Also check the Meta CAPI CRM Partners List for a list of popular integrations.

Can a rich creative form be optimized for "more volume" or "higher intent"?

Yes! Rich creative forms can be optimized for volume or quality at the ad set level, just like other form types. Choosing "rich creative" as your form type gives you more visual customization options, and you can still select your preferred performance goal.

Can gated content be added to only instant forms or both instant forms and website forms?

Gated content (like articles, white papers, pricing) and gated promos (like discount codes) are features specific to Meta Instant Forms. For website forms, you would implement gated content on your own website.

How does the pixel work with Google Sheets?

The Google Sheets integration for CAPI CRM uses a pixel/dataset to send the lead events back to Meta. When you set up the integration, you connect a pixel to the Google Sheet. The sheet then sends lead events (like status updates) through the Conversions API associated with that pixel. The pixel acts as the identifier for your data source.

Are leads de-duplicated?

Meta does not automatically de-duplicate leads across multiple form submissions. If the same person submits a form more than once, each submission is recorded as a separate lead. De-duplication would need to be handled in your CRM or lead management system.

Any best practices for information to include in lead form greetings?

Keep the greeting concise and value-focused. Clearly state what the user will get by filling out the form (e.g., "Get a free quote," "Download our pricing guide"). Set expectations for follow-up timing. Use your brand voice and include any trust signals (e.g., "Join 10,000+ businesses").

If my leads come mainly from messages and phones, how can I make the algorithm focus on high-value customers?

For messaging-based leads, you can use the Conversions API to send down-funnel conversion events (like "qualified lead" or "purchase") back to Meta, similar to how you would with form-based leads. This helps Meta's algorithm learn which users are most likely to become high-value customers. Consider using the Conversion Leads performance goal and integrating your CRM data so Meta can optimize for quality over volume.

Where does the optimization and learning on lead campaigns happen — in the ad account or in the pixel?

The optimization happens at the ad account/campaign level. The pixel (or dataset) is the data source that collects and transmits events, but the learning and optimization are tied to your campaign settings, performance goals, and the ad set configuration. Meta's delivery system uses the event data from the pixel to inform its optimization models at the campaign level.

In terms of language targeting, if you select just English in audience targeting, is that the only audience it serves to?

Language targeting in Meta is used as a filter — it targets users whose language settings match. However, Meta may use it as a strong signal rather than a hard restriction in some cases. For the most precise targeting, combine language settings with location targeting.

Can Salesforce have different pixels for different pages?

The Salesforce integration typically uses one pixel/dataset for the CAPI CRM connection. However, you can have multiple pixels in your ad account for different purposes. The Salesforce Conversion Leads App connects to one pixel at a time for sending CRM events back to Meta.

Will Meta's Instant Forms ever have built-in "Numbers Only" validation?

This feature is not available yet, but the feedback has been shared with the product team.

Is there email address validation available on Instant Forms?

Regular email validation (beyond work email enforcement) is not available right now. Work email enforcement is available and can be enabled to require corporate email addresses.

Is there a way to get automatic email alerts when new leads come in?

Yes — if you connect your leads to a CRM or automation tool (like Zapier, Make, or HighLevel), you can set up automated email notifications for each new lead. Meta Leads Center in Business Suite also provides notifications. The Google Sheets integration can be combined with native Google Sheet notifications to trigger email alerts on new rows.

If we set up CAPI and suddenly see "website leads" in reporting on top of the Meta forms we use, could that be because of CRM CAPI overlap?

When creating a Lead ad in Ads Manager, you specifically choose if the objective is onsite/instant form leads or offsite/website leads. The reporting will show leads based on which objective you chose. The same pixel can collect website and instant form/CAPI CRM leads, but Meta will choose the correct events to utilize and optimize towards based on the source of the event and the type of ad you are running.

Do you create a different Google Sheet for each campaign if you have multiple campaigns?

The Google Sheets integration is on the Facebook page/instant form level, so you really only need one Google Sheet per page. New tabs can automatically be created for each instant form that you create ads for.

If you optimize a campaign for a custom event from the Google Sheet (like "car purchased"), does that mean you must keep the leads list updated in real time?

Yes — when the lead moves from "created" to "car purchased," you need to update that in the Google Sheet (or whatever CRM you use). The more accurately you keep your leads updated, the better Meta can optimize your campaigns.

  • Will the webinar recording and slides be available after the session?
Unfortunately the webinar will not be recorded and the slides cannot be shared. However, relevant resources can be found above, and you can schedule a meeting with a Meta Tech Pro to further work on your integration live.
  • Question
    Answer
  • Is there an integration between my CRM and Meta?
We recommend searching the web for your CRM and 'Meta/Facebook Integration' and checking the official CRM documentation to see whether an integraiton exists. If there is not, there are third party integrators, like Make and Zapier, that provide connectors between many CRMs and Meta to accomplish automatic lead import and the CAPI CRM functionality. Also check our help site for a list of popular CRM integrations.
  • How can we make sure Meta "gets" our business process in terms of what's actually important for us, which funnel stage is important?
We recommend sending all down-funnel actions/stages for your leads, and then when you create a Conversion Lead Campaign, you can choose which stage to optimize towards.
  • Do you recommend using website events AND server-side events?
With Conversion Leads / Conversions API for CRM, you can't send events from the website, only CRM. We only accept CAPI CRM events to enable the Conversion Leads optimization.
  • Is there a minimum number of target events that you need to collect before you move your campaign to optimize for that event?
There is no minimum quantity requirement to enable Conversion Leads, however the more events you send, the better Meta can do to optimize your ad delivery and optimization. A small sample size limits the amount of information Meta can process to ensure that ads are being targeted and delivered to the right people, therefore make sure that you send the complete data set of events and lead stage changes to Meta via CAPI CRM.
  • Once the integration with GoHighLevel is complete, can I send back CRM events as well to Meta?
Yes, that's the main purpose of the integration—to send CRM events to Meta. The HighLevel integration is 2 parts, with the first part being syncing the Meta Instant Form responses to be automatically entered into HighLevel, and the second part is to sync the lead/opportunity stage updates and send those events back to Meta.
  • Can we use the Google Sheets integration for leads generated on the website instead of instant forms?
Currently the Google Sheets integration is available only for Instant Form leads. It does not work with Website leads.
  • Is there a difference between a pixel on a regular website and a pixel in CRM?
If you already have a website pixel, you can use that for the Conversions API for CRM integration. Sometimes advertisers use separate pixels to organize events based on the integration. Either way, a pixel can collect events from website, CRM, offline, and app, and it depends on how you setup your ad campaign and what you optimize towards, to decide which of the events will be used to optimize the ad delivery.
  • Do you create a different Google Sheet for each campaign if you have multiple campaigns?
The Google Sheets integration is on the Facebook page/instant form level, therefore you really only need one Google Sheet per page, and new tabs can automatically be created for each instant form that you create ads for.
  • If you optimize a campaign for a custom event from the Google Sheet, like "car purchased", but the default event is CREATED, does that mean you must keep the leads list updated in real time?
Yes, when the lead moves from created to car purchased, you need to update that in the Google Sheet (or whatever CRM you use). The more accurate you keep your leads in the CRM, the better Meta can do of optimizing your campaigns.
  • Does the lead status need to be in English, or can it be set in another language? Will Meta correctly recognize and process statuses in different languages?
Meta can process statuses and events in different languages, they do not need to be in English, and you can have any kind of custom event names that you'd like.
  • How did Conversions API know which state the lead is in GoHighLevel when the name of the lead state is the name of the pipeline stage?
When setting up the automation workflow rule in HighLevel that sends CAPI events back to Meta, you choose to send a 'Lead' event, and in the Stage name you map it to the {{opportunity.stage_name}} field, which automatically/dynamically will send the opportunities current stage.
  • Is integrating past CRM events from my CRM valuable? Can I sync past lead down funnel data back to Meta?
Currently we only accept previous data up to 7 days, however for simplicity it is sometimes easier to just start from scratch and collect all lead/stage data moving forward.
  • If we set up CAPI and suddenly see “website leads” on the Facebook ads reporting on top of the Meta forms that we use, could that be because of the integration with the website CAPI and CRM CAPI overlap? Meta might be thinking those are website leads due to the pixel?
When creating a Lead ad in Ads Manager, you have to specifically choose if the objective is onsite/instant form leads, or if it is offsite/website leads. The reporting will show how many leads you received from instant forms or website, based off which objective you choose. The same pixel can collect website and instant from/CAPI CRM leads, however based on the source of the event and the type of ad you are running, Meta will choose the correct events to utilize and optimize towards.
